What you will need

1) Smartphone

For optimal usage, a smartphone can be paired with a Bluetooth enabled microchip scanner.

2) Microchip Scanner

EquiTrace works with the following microchip scanners below ONLY:

  • Global Pocket Reader Plus (GPR+)/UWSR+ Microchip Scanner

Initial Sign-in for a New Subscription

1) Download Equitrace Pro from relevant app store

2) Open the Equitrace App

3) Notifications

Choose Yes or No: Caution if you choose not to receive notifications, you will be able to use the App, but you will not get alerts when treatments are due or have been missed, vaccinations reminders, or when a horse is scanned on a different farm. Once they are authorised, you will be able to choose which alerts you receive. If you choose Yes, please also press Allow on the pop-up that appears.

4. Location

In order to be able to generate complete movement records of horses in the system, please choose Yes to allow location. When a pop-up appears, please choose Allow whilst using App.

5. Enter Farm or Business Name

If a farm with the same name is already registered you will have to modify the name of your farm e.g. White Oak Farm 1.

6. App Options

You will be asked what kind of farm it is. If you choose Non-breeding, the Reproduction module will not be available. Be very careful to choose the correct option as you will not be able to modify the type of farm after the initial set up.

7. Enter a Username

This is what other people on your subscription will see when you make notes or give a treatment.

8. Password 

Make sure you can remember your password or record it securely. Passwords can be reset via text message (see next screen). You will need your password if you wish to protect data from a third party with access to your personal phone or if you lose or change your phone.

9. Set-up screen

On Set up Screen (which is also available later in the App) you can choose:

  • Treatment due Notifications—If these are on you will to receive notification ten minutes before a treatment is due.
  • TreatmentsMissed—If these are on you will receive a notification at the time of your choosing after a treatment has been missed.
  • Temperature Units—this is only relevant if you are using a Bio-Thermo microchip. The Bio-Thermo chips can measure temperature in either centigrade or Fahrenheit simply choose the unit you prefer.
  • Location—The App will allow you to search for animals by age definition e.g. Yearling. Specifying which hemisphere you are located in will ensure that the App correctly identifies these.
  • Protect Data Searches—Protect data if selected this means that you will have to enter your password or use touch ID/face ID within the App to search for horses and see their data. Without this anyone can look at data on the App but only if they have your phone. Use Face ID this protects your data if this is not on then you will have to enter your password to search for horses data each time.
  • Optional Password Retrieval—to receive a text message that will allow you to reset your password enter your cell phone number here. If you forget your password in the future you will be able to change your password and regain access. This can be difficult to do if you do not enter your cell at this point. Your cell phone number is stored encrypted solely to allow you to recover your account/password. It is not accessible to either EquiTrace employees or any third parties.

11. Subscription Information

You will now be shown subscription information. Each subscription comes with one month free trial. Choose the appropriate number of horses that you intend to use the App with. The App will not allow you to register more horses than you have paid for, however you can upgrade the number of horses at any time. If you wish to see our Privacy Policy or Terms of use you can access these by scrolling down. EquiTrace will change on 30 June 2022 to include additional premium features until this time by selecting Basic you will be able to access premium features at the basic subscription price.

Sign-in for New Staff Member of Registered Farm

Enter the farm or business name accurately. If you are applying to join a farm which has already been registered, the subscription holder will receive a notification of your username when you enter it and will be able to authorise your access.

You will then have to wait until the subscription holder authorises you to use the system from the message sent to their phone.

How do I enter my horses into the App? 

When setting up the app it is necessary to enter each horses name and microchip number. To do this you can:

  1. Enter horse’s names as you scan them. Each horse will only ever have to have this done once, then the App will remember the name.

  2. If you have an existing list of horse’s names and microchips you can put this data into a spreadsheet formatted with specific headings. These must be column headers Microchip, Microchip 2, Microchip 3, Name, Brand or Pet Name, Sire, Dam, Sex, Colour, Date of Birth (YYYY-MM-DD) and Breed. Multiple columns must be included for microchips even if horse only has one. Leave columns that are not applicable blank. A template for this is available at www.equitrace.app or you can download it below.

  3. This file needs to be saved as a .csv file. The file should be saved on DropBox or for iPhone users you can save the file to iCloud files. To transfer this data open the App, go to Other Features on the Home screen, choose Import horses from .csv file then choose either iCloud or Dropbox to access your file. Any incorrectly formatted lines will be flagged in red.

A csv file (comma separated value file) is one of the export formats available from spread sheet programs such as Excel, Numbers and Open Office.
